Would it be too much to video tape the pick up run through? Or perhaps a voice recorder? not to pick up staff knowledge but more like a reference. We had a great little session with Jayco at Ballarat and I wish I had written/recorded more of it because it was an eye opener, and wasn't possible to take it all in.
